What is HostParty?
Overview

HostParty is a platform to connect Party hosts and party services provider to make party hosting experience simple convenient. It provides 2 applications, one for service providers called ‘HostParty Manager’ and second for party hosts called HostParty.

Hostparty Manager application enables service providers to showcase their business details, add services offered, manage customer enquiries, manage bookings and record payments.

Hostparty application is for party hosts who can find the services and contact providers, send enquiries or booking request and manage all the party requirements.

Registering your Business
Creating Business Details

Users can add the business details after creating their account. You will be able to add information like:

• Business Name: Name of your company or business.

• Short title: A small title to highlight your main business offering.

• Services Type: You can select one or more types of services offered by you like Banquets, Catering, Decoration, Entertainment, DJ, Photography or others.

• Contact Number: Your mobile or other phone number for contacting.

• Business Address: Your business address.

• Business Description: Details of your business and services you offer.

Creating Service Packages

You can add one or more service packages offered by you which can include details like package name, package description where you can specify features or facilities offered, package rate and rate type like fixed price or per person or per hour. You can also add images to a package to provide additional details of a package like menus, features included, etc.

Package details can be updated at any time as per business need by clicking on edit icon on the package details screen.

The package can be marked as active or inactive any stage. When it is marked as inactive, it will be unavailable for selection while creating enquiry or booking.

Adding social media details

You can add your website details and link to social media pages like Facebook, Google, and LinkedIn.

Creating images gallery

You can upload images of your business place or service from previous experience to showcase your experience.

Dashboard

Dashboard is home page of the app from where you can navigate to all the available functions like:

• Create New Enquiry.

• Create New Booking.

• View existing enquiries list.

• View existing bookings list.

• View Packages Offered.

• View Payment transactions.

You can also view or update your business details and user details from dashboard.

Subscription

The application is free to download and register your business as a trial for 2 months. You have to choose one of available subscription to continue and benefit from all available features.

Enquiry Services
Creating New Enquiry

You can create new enquiries from your customers by adding details of Party like party name, occasion, date, time, number of guests, venue address, customer name, email, phone number and the service package required by customer. The package can be selected from existing active packages offered or a custom service package can be created for customer specific requirements. You can touch the Create Enquiry button on the dashboard or use add icon of enquiry list page to create a new enquiry.

View Enquiries List

All the enquiries can be viewed on enquiries list screen which can be accessed from the dashboard or from the enquiries tab. The list shows brief details of enquiry like enquiry Id, customer name, party date & time. The list can be filtered by any of these enquiry data. On clicking a enquiry it will launch the enquiry details screen where you can view party Details, customer Details, party service Package selected by customer and booking amount.

The enquiries list is shown in two parts – Ongoing and Completed. Ongoing enquiries are the ones which have not been completed, deleted or converted to bookings. Once an enquiry is past party due date it will show with red warning. You can manually complete the enquiry to completed list. An enquiry can be also converted to bookings when it will be moved to completed list. An enquiry cannot be edited after it is completed.

Update Existing Enquiry

All the enquires are available to view on Enquiries list screen and can be opened for detailed view. The details can be updated by clicking on edit icon on the enquiry screen. You can change the service package or any other customer details at stage of enquiry. The booking amount will be updated accordingly.

Delet Enquiry

Enquiries can be deleted at any stage and they will disappear from list. The delete function can be accessed by sliding the enquiry to left on the enquiry list page.

Convert Enquires to Bookings

An enquiry can be converted to booking when customer is ready to make the booking. This saves you effort from re-entering all the information. You will be able to add or edit any more details after the enquiry has been converted to booking.

Complete Enquiry

The enquiry can be set to complete at any stage to move it out from ongoing enquiry list. You can use this function to mark an enquiry as complete if customer is no longer interested or you have created a new booking for same.

Creating Custom service packages

When creating an enquiry, you will be able to create a custom service package for customer specific requirements. Once created, you will have option to mark this package to be available as standard package to other customers. The package can be marked as active or inactive onview package details screen from package list screen.

Adding Notes or additional information

Additional information for an enquiry can be added by adding notes to the enquiry. This can be used to add any customer preferences, special requirements or instructions etc.

Booking Services
Creating New Booking

You can create new booking from your customers by adding details of Party like party name, occasion, date, time, number of guests, venue address, customer name, email, phone number and the service package required by customer. The package can be selected from existing active packages offered or a custom service package can be created for customer specific requirements. You can touch the Create Enquiry button on the dashboard or use add icon of enquiry list page to create a new enquiry.

View Bookings List

All the bookings can be viewed on bookings list screen which can be accessed from the dashboard or from the Bookings tab. The list shows brief details of booking like booking Id, customer name, party date & time. The list can be filtered by any of these enquiry data to find a specific enquiry.

On clicking a booking, it will launch the booking details screen where you can view party Details, customer Details, party service Package selected by customer, booking amount and any payment transactions.

The bookings list is shown in two parts – Ongoing and Completed. Ongoing bookings are the ones which have not been completed or deleted. Once a booking is past party due date it will show with red warning. You can manually complete the booking to move it completed list.

You can change the party details, party service package or any other customer details at stage of booking. The booking amount will be updated accordingly. A booking cannot be updated after it has been completed. If you want to record any pending payments for booking then you should not mark it as complete to keep it editable.

Delete Booking

Booking can be deleted at any stage and they will disappear from list of both ongoing and completed bookings list. The delete function can be accessed by sliding the booking to left on the booking list page.

An enquiry can be converted to booking when customer is ready to make the booking. This saves you effort from re-entering all the information. You will be able to add or edit any more details after the enquiry has been converted to booking.

The booking can be set to complete at any stage to move it out from ongoing bookings list. You can use this function to mark a booking as complete after party has completed and all the payments are recorded.

Creating Custom service packages

The package can be marked as active or inactive on view package details screen from package list screen.

Record Payment

Record payment function allows you to record a payment transaction for a booking. The amount due will be calculated by taking into account any recorded payments already made by customer. You can record a payment from the payment screen on a booking or from the Payment button from dashboard and then selecting an existing booking. The transaction details that can be recorded are payment date, transaction reference, amount and payment mode.

Note: This is not a service to take any form of online or mobile payment. The feature is only to record a payment transaction against a booking.

Adding Notes or additional information

Additional information for a booking can be added by adding notes to the booking. This can be used to add any customer preferences, special requirements or instructions etc.
