Creating New Booking
You can create new booking from your customers by adding details of Party like party name, occasion, date, time, number of guests, venue address, customer name, email, phone number and the service package required by customer. The package can be selected from existing active packages offered or a custom service package can be created for customer specific requirements. You can touch the Create Enquiry button on the dashboard or use add icon of enquiry list page to create a new enquiry.
View Bookings List
All the bookings can be viewed on bookings list screen which can be accessed from the dashboard or from the Bookings tab. The list shows brief details of booking like booking Id, customer name, party date & time. The list can be filtered by any of these enquiry data to find a specific enquiry.
On clicking a booking, it will launch the booking details screen where you can view party Details, customer Details, party service Package selected by customer, booking amount and any payment transactions.
The bookings list is shown in two parts – Ongoing and Completed. Ongoing bookings are the ones which have not been completed or deleted. Once a booking is past party due date it will show with red warning. You can manually complete the booking to move it completed list.
Update Existing Booking
All the bookings are available to view on bookings list screen and can be opened for detailed view. The details can be updated by clicking on edit icon on the booking screen. You can change the party details, party service package or any other customer details at stage of booking. The booking amount will be updated accordingly. A booking cannot be updated after it has been completed. If you want to record any pending payments for booking then you should not mark it as complete to keep it editable.
Booking can be deleted at any stage and they will disappear from list of both ongoing and completed bookings list. The delete function can be accessed by sliding the booking to left on the booking list page.
Convert Enquires to Bookings
An enquiry can be converted to booking when customer is ready to make the booking. This saves you effort from re-entering all the information. You will be able to add or edit any more details after the enquiry has been converted to booking.
The booking can be set to complete at any stage to move it out from ongoing bookings list. You can use this function to mark a booking as complete after party has completed and all the payments are recorded.
Creating Custom service packages
When creating a booking, you will be able to create a custom service package for customer specific requirements. Once created, you will have option to mark this package to be available as standard package to other customers. The package can be marked as active or inactive on view package details screen from package list screen.
Record payment function allows you to record a payment transaction for a booking. The amount due will be calculated by taking into account any recorded payments already made by customer. You can record a payment from the payment screen on a booking or from the Payment button from dashboard and then selecting an existing booking. The transaction details that can be recorded are payment date, transaction reference, amount and payment mode.
Note: This is not a service to take any form of online or mobile payment. The feature is only to record a payment transaction against a booking.
Adding Notes or additional information
Additional information for a booking can be added by adding notes to the booking. This can be used to add any customer preferences, special requirements or instructions etc.
